Legal Administrative Assistant/Office Manager

Our law firm’s focus is on protection of our communities and environment from the adverse impacts and economic pressures of development, pollution, logging, and other land uses.

We are seeking a highly motivated and environmentally conscious individual to join our team as a Legal Administrative Assistant and Office Manager. The ideal candidate will share our passion for environmental protection and possess the skills necessary to support our legal team and manage office operations effectively.

Qualifications:

  • Previous experience in a legal or administrative role is highly desirable.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other office software.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Genuine interest in environmental protection and sustainability.
  • Proficient in calendar management and document preparation.
  • Familiarity with legal procedures and terminology.

Responsibilities:

  • Provide administrative support to attorneys, including managing calendars, scheduling appointments, and preparing legal documents.
  • Assist with client communications, including drafting correspondence and maintaining client files.
  • Coordinate meetings, conferences, and travel arrangements for attorneys and staff.
  • Manage office operations, including overseeing office supplies, equipment maintenance, and vendor relationships.
  • Handle incoming calls and inquiries, directing them to the appropriate staff members.
  • Perform general clerical duties, such as filing, copying, organizing, and sharing documents and preparing mailings and other shipments.
  • Review court procedures and filing requirements, file and serve pleadings, and coordinate services with process servers and legal messengers.
  • Draft, format, and proofread legal documents, including preparing tables of authorities and tables of contents.
  • Prepare exhibits, tables of contents, and binders for filings and hearings.
  • Download, organize, and maintain electronic documents stored on office network.
